Plan It Perfect — Client Terms & Conditions

These Terms & Conditions ("Terms") govern your use of the Plan It Perfect platform ("Platform", "we", "our", "us"), including browsing, creating events, booking suppliers, sending messages, and making payments.
By using our Platform, you ("Client", "User", "you") agree to be legally bound by these Terms.
1. DEFINITIONS
- Client: An individual or business using the Platform to book suppliers for an event.
- Supplier: A service provider offering services such as catering, DJs, décor, photography, entertainment, private chefs, etc.
- Event: Any occasion booked through the Platform (party, wedding, corporate event, etc.).
- Booking: A confirmed agreement between a Client and Supplier on the Platform, including payment.
- Platform Protection: A paid optional protection product purchased by Clients to receive enhanced support and coverage.
- Service Fees: Fees charged by Plan It Perfect for use of the Platform.
- Protection Fee: An optional 5% Client Protection Fee added at checkout.
2. ACCEPTANCE OF TERMS
By accessing or using the Platform, you:
- Confirm you are at least 18 years old.
- Agree to comply with these Terms.
- Authorise us to process payments, send confirmations, and communicate with suppliers on your behalf.
If you do not agree, you must discontinue use of the Platform.
3. PLATFORM ROLE
Plan It Perfect:
- Is NOT a supplier.
- Does NOT provide the services booked (e.g., catering, DJs, décor).
- Acts as a facilitator for communication, booking, and secure payments.
- Is not responsible for the performance, delivery, or conduct of any supplier unless covered by Platform Protection.
All agreements for services are between Client ↔ Supplier, not with Plan It Perfect.
4. CLIENT RESPONSIBILITIES
Clients must:
- Provide accurate information (event details, dates, numbers, location, etc.).
- Keep communication within the Platform (phone numbers/emails are automatically masked).
- Pay all required fees at checkout.
- Comply with all laws and venue requirements.
- Communicate changes to the supplier through the Platform only.
Failure to adhere may result in cancellation or account suspension.
5. BOOKINGS & PAYMENTS
5.1 Confirmation
A booking is confirmed only when:
- The supplier accepts the quote
- The client has paid the deposit or full amount
- A confirmation receipt is issued
5.2 Payment Processing
- Payments are securely processed through Stripe (or Stripe Connect).
- Plan It Perfect may hold funds until service completion, depending on payment structure.
5.3 Fees
- Platform Service Fee: Non-refundable unless an error occurs on our side.
- Supplier Fees: Governed by supplier policies.
- Protection Fee: Optional 5% fee added at checkout when toggled ON.
6. CLIENT PROTECTION FEE (OPTIONAL 5%)
Clients may choose to add Platform Protection at checkout by toggling the option ON.
6.1 What It Covers
- Priority support in case of non-attendance or service failure
- Assistance finding an emergency replacement supplier (where possible)
- Mediation in disputes
- Partial refund guarantee when supplier breaches agreement
- Coverage for fraudulent activity by suppliers
- Additional safeguards during cancellations and rescheduling
6.2 What It Does Not Cover
- Client-initiated cancellations
- Changes of mind or preference
- Venue-related issues outside the supplier's control
- Weather-related disruptions
- Acts of God
6.3 Non-Refundable
The Protection Fee is non-refundable once the booking is completed.
7. REFUND POLICY
7.1 Full Refunds
A Client is eligible for a full refund ONLY if:
- The supplier cancels and no suitable replacement is available
- The supplier fails to attend the event
- The client purchased Platform Protection
- Fraud, deception, or proven misconduct by the supplier
Full refund includes:
- Service amount paid to supplier
- Deposit (if supplier is at fault)
- Any unused additional charges
Platform Service Fees are refunded only if the cancellation arises from a platform error.
7.2 Partial Refunds
Partial refunds may apply when:
- A supplier arrives late or underperforms
- Only part of the service was delivered
- The client purchased Protection
7.3 Non-Refundable Items
- Platform Service Fee
- Protection Fee
- Tips or discretionary add-ons
- Client-initiated changes or cancellations outside supplier refund windows
8. CANCELLATION POLICY
Different suppliers may have their own cancellation rules. The client must review and accept these before booking.
8.1 Client-Initiated Cancellations
If the client cancels:
- More than 30 days before event: Supplier refund depends on their policy
- 15–30 days before event: Deposit typically forfeited
- 0–7 days before event: No refund (unless supplier agrees)
8.2 Supplier-Initiated Cancellations
If the supplier cancels:
- Full refund to client
- Emergency replacement attempt (if Protection purchased)
- Supplier may receive penalties under Supplier Terms
9. EVENT CHANGES & AMENDMENTS
Changes such as:
- Time
- Location
- Number of guests
- Service requirements
Must be done through the Platform.
If the supplier has already accepted the booking:
- Supplier must approve all changes
- New pricing may apply
- Protection may not cover client-initiated changes
If a supplier does not agree to the change, the original contract stands.
10. DISPUTES & CHARGEBACKS
10.1 Internal Dispute Process
If something goes wrong:
- Raise a complaint through the Platform
- Provide evidence (photos, timestamps, screenshots)
- Allow Plan It Perfect 5–10 working days to investigate
10.2 Chargebacks
Initiating a chargeback without allowing Plan It Perfect to resolve the issue:
- May result in account suspension
- May void refund rights
- May incur investigation fees
10.3 Final Decisions
Plan It Perfect's decisions are made fairly and based on evidence provided by both parties.
11. MISCONDUCT & FRAUD
Plan It Perfect may immediately suspend or remove accounts for:
- Providing false information
- Attempting to take business off the Platform
- Abusive or inappropriate messages
- Suspicious payment activity
- Fraudulent chargebacks
- Harassment of suppliers or staff
We operate a zero-tolerance policy.
12. PLATFORM RULES
Clients must not:
- Bypass payments or communicate personal contact details
- Offer suppliers direct payments or offline deals
- Post inappropriate or offensive content
- Use automated tools, scrapers, or bots
- Misuse the review system
Messages containing emails, phone numbers, or inappropriate language may be automatically masked or blocked.
13. REVIEWS
Clients may leave honest reviews, but:
- Must be factual
- Should reflect real experience
- Must not be defamatory
Plan It Perfect may remove reviews that violate guidelines.
14. DATA & PRIVACY
Plan It Perfect processes personal data in accordance with our Privacy Policy (separate document).
By using the Platform, you consent to:
- Data collection
- Storage
- Fraud prevention checks
- Communication (email, SMS, push notifications)
15. LIMITATION OF LIABILITY
Plan It Perfect is not liable for:
- Supplier performance or behaviour
- Event outcomes
- Damages, losses, or injuries during an event
- Client mistakes when entering event information
- Venue problems
- Force majeure events (weather, strikes, etc.)
Maximum liability is limited to the total amount paid for the booking.
16. INTELLECTUAL PROPERTY
All content on the Platform, including branding, UI, text, images, and code, is owned by Plan It Perfect and may not be copied or reused.
17. ACCOUNT TERMINATION
We may suspend or terminate accounts for violations of these Terms.
Clients may request account deletion anytime.
18. CHANGES TO TERMS
We may update these Terms at any time.
Continued use of the Platform after updates constitutes acceptance.
19. GOVERNING LAW
These Terms are governed by the laws of the United Kingdom. Disputes fall under the exclusive jurisdiction of UK courts.
