Plan It Perfect — Supplier Terms & Conditions

Applies To: All Suppliers, Vendors, Contractors & Service Providers

1. INTRODUCTION

These Supplier Terms & Conditions ("Terms") govern your use of the Plan It Perfect Platform ("Platform", "we", "our"), including creating a profile, receiving bookings, messaging clients, uploading documents, and offering services.

By registering as a Supplier, you ("Supplier", "you", "service provider", "vendor") agree to:

  • These Terms
  • The Privacy Policy
  • The Acceptable Use Policy
  • Payment and Payout Policies
  • Any additional rules or guidelines displayed on the Platform

If you do not agree, you must not use the Platform.

2. DEFINITIONS

  • Supplier: Any service provider offering services (catering, entertainment, décor, DJ, photography, private chefs, bartenders, etc.).
  • Client: A user booking a supplier for an event.
  • Booking: A legally binding agreement between Supplier and Client.
  • Service Fee: A percentage retained by Plan It Perfect.
  • Plan It Perfect Protection: Optional client/supplier protection programmes.
  • Payout: Funds transferred to a supplier after service completion.
  • Event: Any occasion booked by a Client.

3. PLATFORM ROLE

Plan It Perfect:

  • Is NOT the employer, manager, or agent of suppliers.
  • Does NOT guarantee clients, bookings, or income.
  • Acts solely as an intermediary providing:
  • Listing services
  • Messaging tools
  • Secure payments
  • Reviews system
  • Booking coordination

You are an independent contractor, not an employee.

4. SUPPLIER OBLIGATIONS

Suppliers agree to:

4.1 Provide Accurate Information

You must provide truthful, complete details including:

  • Business name
  • Identity verification documents
  • Public liability insurance
  • Pricing
  • Menus/services
  • Travel fees
  • Cancellation/refund rules

4.2 Deliver Services as Advertised

You must:

  • Arrive on time
  • Deliver services exactly as agreed
  • Notify clients of delays or issues
  • Maintain professionalism
  • Provide your own equipment unless otherwise agreed
  • Follow relevant laws and health/safety regulations

4.3 Maintain Insurance

Suppliers MUST maintain:

  • Public liability insurance
  • Any required licensing (e.g., food handling, alcohol serving, music licensing)

Failure to maintain insurance may cause suspension.

5. LISTINGS & PROFILE CONTENT

Your profile must:

  • Be accurate and up to date
  • Contain no misleading claims
  • Represent real images, menus, or services you provide

We may remove content that:

  • Is inappropriate
  • Contains personal contact details
  • Is misleading or fraudulent
  • Attempts to drive traffic off-platform

6. COMMUNICATION RULES

Suppliers must:

  • Keep all communication on the Platform
  • NOT share personal phone numbers, emails, or social links before booking
  • Respond to clients within reasonable time

Plan It Perfect automatically masks personal details to protect both parties.

Violation may lead to:

  • Profile suspension
  • Reduced visibility
  • Removal from search results
  • Permanent termination

7. PRICING, PAYMENTS & FEES

7.1 Setting Your Prices

You control and set:

  • Service prices
  • Travel fees
  • Add-on charges
  • Deposits
  • Minimum spend

7.2 Service Fees

Plan It Perfect charges suppliers a fixed or percentage fee on each booking. This fee is non-refundable unless there is a platform error.

7.3 Payment Structure

Payouts occur:

  • After the event
  • After confirmation of successful service
  • Through Stripe Connect or approved payout providers

Plan It Perfect may delay payouts if:

  • Fraud is suspected
  • A dispute is open
  • A client reports non-delivery

8. CANCELLATIONS

8.1 Supplier Cancellations

If the supplier cancels:

  • Client receives a full refund
  • Supplier may incur penalties
  • Supplier protection may be void
  • Supplier's ranking will be negatively affected

Frequent cancellations may result in:

  • Temporary suspension
  • Permanent termination
  • Removal from listings

8.2 Client Cancellations

Clients may cancel based on your cancellation policy, which must be clearly stated and fair.

If you do not provide a policy, the default is:

  • 30+ days before event → full refund
  • 15–30 days → deposit non-refundable
  • 0–7 days → no refund

9. EVENT CHANGES

If a client requests changes (location, time, guest count, etc.):

  • You must explicitly approve on the platform
  • You may update pricing
  • You may decline if changes are unreasonable or outside your capability

Failure to respond may cause booking cancellation.

10. SUPPLIER PROTECTION & COVERAGE

Plan It Perfect Supplier Protection protects you against:

  • No-shows by clients
  • Fraudulent disputes
  • Last-minute client cancellations (when covered)
  • Damages to reputation caused by fraudulent reviews
  • Payment disputes

11. DISPUTE RESOLUTION

11.1 Internal Dispute Process

If a dispute arises:

  • Client or supplier must submit evidence
  • Plan It Perfect reviews both sides
  • Decisions are based on documented proof
  • Resolution timeline: 5–10 working days

11.2 Chargebacks

If a client issues a chargeback:

  • Payout may be paused
  • Supplier must provide evidence
  • Failure to provide evidence may result in losses

Plan It Perfect reserves the right to recover chargeback amounts from the supplier.

12. REVIEWS

Clients may leave reviews about their experience.

Suppliers agree to:

  • Not manipulate reviews
  • Not threaten clients for removing reviews
  • Not offer discounts or incentives in exchange for positive reviews

Plan It Perfect may remove:

  • Fake reviews
  • Defamatory statements
  • Reviews unrelated to the service
  • Reviews violating policies

13. ACCOUNT TERMINATION

We may suspend or delete supplier accounts if:

  • Policies are breached
  • Fraud is suspected
  • Excessive complaints occur
  • You fail to deliver services
  • You attempt to bypass the platform
  • Illegal activities are detected

We may retain evidence or documents for legal compliance.

14. LIABILITY

Plan It Perfect is not liable for:

  • Supplier performance
  • Damages caused by suppliers
  • Injuries or accidents
  • Food safety issues
  • Lost income
  • Venue problems
  • Force majeure events

Suppliers agree to indemnify Plan It Perfect against claims from clients relating to supplier actions.

15. INTELLECTUAL PROPERTY

All platform content belongs to Plan It Perfect. Suppliers may not copy, reproduce, or re-create platform designs or tools.

Suppliers grant Plan It Perfect rights to:

  • Use their images for marketing
  • Display listings
  • Promote services through ads

16. DATA PROTECTION

We process supplier data in accordance with UK GDPR. Details are found in the Privacy Policy.

17. CHANGES TO TERMS

We may amend these Terms at any time. Continued use signifies acceptance.

18. GOVERNING LAW

These Terms are governed by laws of the United Kingdom. Disputes are subject to UK courts.
